HR Operations Specialist

FUNCTION: The HR Operations Specialist supports the administration and continuous improvement of HR operations. The position independently manages assigned HR processes, maintains HR data accuracy, identifies and resolves routine issues, and recommends improvements to increase efficiency, consistency, compliance, and employee service. The position also provides cross-trained backup coverage for Benefits administration and selected HR Generalist functions.

HOURS: Monday-Friday, 8:00am-5:00pm

Essential Job Duties

  • Conduct New Hire Orientation, manage 90-day review process, distribute and review various HR surveys (training, etc.), including tracking, follow-up, analysis of results, and recommendations for improvement.
  • Cross-train in all Benefit Specialist responsibilities and maintain sufficient ongoing knowledge to serve as the designated backup, including benefit enrollment and eligibility, leave administration (FMLA, STD/LTD, etc.), Open Enrollment, employee inquiries, 5500 reporting, vendor/carrier processes, ADA administration, documentation, tracking, and related HRIS administration.
  • Manage assigned routine 401(k) administration and required notices and assist with reconciling all benefit invoices against HRIS enrollment and eligibility information, researching and coordinating correction of discrepancies.
  • Conduct routine HRIS and personnel data audits; independently research and resolve discrepancies, identify the underlying problem and recommend correction or process improvement.
  • Manage the Status Change Form (SCF) process, including reviewing requests for accuracy, completeness, approvals, and supporting documentation; research and resolve routine discrepancies escalating complex matters as appropriate.
  • Share responsibility with the HR Generalist for HRIS reporting and assist with EEO and other HR required reporting.
  • Support the HR Generalist with workers' compensation documentation and OSHA reporting.
  • Serve as trained backup for payroll-cycle HR preparation.
  • Provide research, records, and administrative support for unemployment claims and other assigned HR responsibilities as needed.
  • Create and maintain electronic personnel files.
  • Monitor the HR Inbox and respond to routine inquiries within assigned areas of responsibility, file attachments and documentation in the appropriate employee record.
  • Regularly evaluate HR workflows and practices, identify manual or duplicative processes and workflow gaps, research potential solutions, and recommend opportunities for automation or other improvements.
  • Participate in special HR projects and other duties as assigned.

Required Qualifications

  • 2-4 years of progressive Human Resources experience preferred, including exposure to HR operations, HRIS, benefits or compliance.
  • Bachelor’s degree in Human Resources or Business Administration preferred; SHRM-CP or PHR certification preferred.
  • Strong analytical, problem-solving, organizational, and communication skills with demonstrated attention to detail and data accuracy.
  • Ability to research issues, exercise sound judgment within established authority, independently manage assigned processes, and recommend practical improvements.
  • Ability to maintain confidentiality and work collaboratively across HR functions; proficiency with Microsoft Office Suite required.
